Submitting File Creation Requests

Note: Required fields on this page are marked with an asterisk.

To submit a file creation request:

  1. Select File Creation Request from the  Creation menu on the Versatile Web menu bar. The File Creation page displays.

Note: View any custom instructions for this page by clicking Help?.

  1. Click Clear to add another file in the same series as the last file created. Versatile clears all fields except Company, Department, and Series, which you can change by making another selection in these fields.

  2. Select the Company and Department:

Select the company from the Company drop-down list to indicate ownership of the file.

If you are assigned to a default department, it displays to the right of DepartĀ­ment. To select a different department, see Selecting a Department.

Note: The Department Inquiry and Search buttons are not available if Versatile Web is configured to always use your default department for box/file creation.

  1. Select a record series for the file (see Selecting a Record Series).

  2. Enter the following file information, as necessary:

  3. Media Type

  4. Content from date (see Entering Dates)

  5. Content to date

  6. Event date

  7. Title

  8. Description

  9. User-defined fields, if any

  1. Click Submit File Request to submit the request.

If all required information is correctly entered, Versatile assigns the file a request number, and the File Creation Result Page displays a message stating the file request was submitted successfully.

Note: If any required fields are empty or contain incorrectly formatted information, a message displays. Click OK to close the dialog box, fill in the required information, and then click Submit File Request again.

  1. Do any of the following from the File Creation Result page:

  2. To print the file request details, click Print Details (see Printing File Request Details.

  3. To create another file request, click Create New File.

  4. To print labels, click Print Label(s). The My File Requests page is displayed. Print the labels as described in Printing File Labels.
