Searching for Boxes and Files

The search capability within Versatile Web is quite powerful. Search for boxes or files by entering keywords, and then refine your search further by entering other filters such as box number, user box number, record number, department/sub-department, record series, record center ID, date range, storage room, media type, barcode, state, or user-defined fields.

Versatile Administrators can customize the Search page by hiding fields or entire tabs. Also, user-defined fields can be displayed, or specific user-defined fields can be hidden.

Note: If all fields on any tab on the Search page are hidden, the entire tab is hidden.

To search for boxes and/or files:

  1. Select Search Boxes/Files from the Retrieval menu on the Versatile Web main menu. The Versatile Search page displays.

Note: Click Search at any time to perform a search using the criteria provided on all tabs, not just the one currently selected. Similarly, the Clear button clears selections from all tabs, not just the one currently selected.

Whenever you click in an entry field, Versatile automatically checks the check box next to that field; however, your search is not filtered by that field unless you enter a value in the field.

  1. Select whether you want to search boxes, files, or both by clicking the Boxes and/or Files check boxes.

Ten is the default number of search results to display per page. To change the default number of search results to display per page, select a different number from the Results per page drop-down list.

  1. Enter your search criteria:
  2. Keyword

  3. Box/file criteria

  4. Advanced criteria

  5. User-defined fields

  6. State

  7. Barcode
